For clients

BodIworK is where you book sessions with your practitioner and manage them afterwards — no app to install, and no account to set up before you book.

How do I book a session?

Open your practitioner’s booking link, pick a service and an open time, and send the request. Some practitioners confirm instantly; others approve requests first — either way you’ll get an email as soon as your session is confirmed.

What emails will I receive?

  • Request received — we got your request and your practitioner is reviewing it.
  • Confirmed — your session is booked, with a calendar invite attached.
  • New time — your session moved; the attached invite updates the event in your calendar.
  • Cancelled — the session was called off; the attached file removes it from your calendar.

We do not currently send a separate reminder before your session — the confirmation email and its calendar invite are what you’ll have. Your practitioner may reach out directly.

How do I sign in?

Enter the email address you booked with and we’ll send you a sign-in code. Enter the code and you’re in — there’s no password to remember. If that address is a Google account you can use “Sign in with Google” instead.

How do I see or change my sessions?

Sign in with the same email you booked with to see all your sessions in one place. From a session’s page you can cancel it or propose a new time while it’s still upcoming.

How do I add a session to my calendar?

The confirmation email carries a calendar invite — most mail apps offer one tap to add it. If the session later moves or is cancelled, the follow-up email updates or removes the same event.

What does my practitioner see about me?

Your contact details, your booking history with them, and any preferences you’ve set on your profile — which help them prepare for your visit. You can review and change your preferences any time from your profile.

For practitioners

BodIworK is a booking link, client-relationship manager, and AI concierge built for independent massage and bodywork practitioners. Clients book through your link; you manage everything from one dashboard.

What is the Home screen?

Home is your practice dashboard — the first thing you see when you sign in. It shows your next session, the things that need attention right now, your booking tabs (Requested, Upcoming, Past), and this month’s revenue, session count, and new clients.

The action items are the part that earns its place: sessions waiting to be marked complete, drafts waiting to be sent, and clients who have lapsed. Lapsed clients are warm leads who already know you.

What goes in my profile?

  • Photo — practitioners with a photo get noticeably more bookings.
  • Headline and bio — your background, your approach, and what makes your work distinct.
  • Certifications — credentials build trust with new clients (for example, Licensed Massage Therapist (LMT)).
  • Services — everything you offer, as a service or an add-on (for example, Deep Tissue 60 min). Both need a length and a price.
  • Locations — where you practise: online, mobile, or a physical address. Add a buffer to each location to stop bookings landing back to back.

Open your profile from the avatar in the top corner. Changes show on your public booking page immediately.

Where is my booking link?

Every practitioner gets a unique booking link, shown on your Profile page. Copy it into your Instagram bio, a text message, or your email signature — anyone who opens it can request a booking. You can also download it as a QR code to print or show in person.

How do I set my availability?

Go to Availability. Set recurring weekly hours, block out specific dates or ranges for holidays and personal appointments, and add one-off slots for times outside your usual pattern. Everything is stored in your timezone, so clients always see correct local times.

Clients can only request times you’ve marked available, so you are never declining requests because of a conflict the system could have caught.

Can I connect my calendar?

Yes — Google Calendar and Microsoft (Outlook) both connect from Availability → Calendar sync. You can hold one active connection per provider, so Google and Microsoft together works; two separate Google accounts does not.

We read only your events’ busy times so clients can’t book over you. We never read event titles, descriptions, or attendees — see the Privacy Policy for the exact detail. Every calendar on a connected account is a busy source by default, and you can switch individual ones off; calendars Google subscribes you to automatically (holidays, contacts’ birthdays) are filtered out.

Writing back is on from the moment you connect, and you can turn it off per connection. While it’s on, your confirmed sessions are added to that account’s primary calendar — or another calendar you own, if you pick one on the sync page. Change your mind later and we move your upcoming sessions across for you. Disconnecting removes our access and deletes the busy times we had cached, in one step.

Reminder emails go to clients — so why write to my calendar?

They serve different people. Client emails tell your client what’s happening. Writing to your calendar is what stops you double-booking yourself from outside the app — on your phone, without opening BodIworK. Without it, your own calendar quietly disagrees with your schedule.

What happens after a client requests a booking?

  • Requested — it appears on your Home screen under “Requested”, and the client gets an email confirming we received it.
  • Approved — you approve from Home, or the request is confirmed instantly if that location allows it.
  • Confirmed — the client gets a confirmation email with a calendar invite attached.
  • Completed — you mark it complete afterwards, which prompts you for notes and generates a follow-up draft.

If the time no longer works you can propose a new time or decline. Clients can cancel or propose a new time themselves while the session is still upcoming; either way the other side gets an email, and the attached invite updates or removes the event.

Where do I find past bookings?

The Sessions page holds your full history, filterable in one row. Home shows only the near-term picture.

What is the Clients section?

Your CRM — a full view of every client: contact details, booking history, lifetime revenue, labels, preferences, private notes, and birthdays. Clients are added automatically when someone books through your link, and you can add them yourself or upload a CSV. In Chrome on Android, you can also pick straight from your phone contacts.

  • Labels — segment clients however you work, then filter by label. Labels also sharpen what the Concierge writes.
  • Client preferences — pressure preference, favorite oils, scheduling habits. These are shared with the Concierge so outreach reads like you.
  • Private observations — notes only you can see. Never shown to the client, never sent to the AI.
  • Lapse threshold — how long without a booking before a client counts as lapsed. Defaults to six weeks, adjustable per client.
  • Birthday — surfaces the client in the Birthdays tab as it approaches.
  • Block from booking — stops a specific client requesting future times.

Do not store health information — conditions, diagnoses, medications, or other medical details — in client preferences, notes, or messages. BodIworK is not a medical record system.

The tabs are All, Active, Lapsed, New, and Birthdays. Lapsed and Birthdays are the two that make you money: both are people who already know you, and the Concierge will draft the message in a tap.

What is the Concierge?

An AI assistant (powered by Claude) that works from your own client history, preferences, and availability. Ask it to write outreach to a client or a group, draft a promotion for a deal, or answer questions about your practice — “who hasn’t booked in six weeks?”, “what does next week look like?”. It also guides you through setup when you’re starting out. The Concierge is in beta.

It never sends anything. Every message it writes lands in Drafts for you to review, edit, and send yourself.

What is the Drafts screen?

Where outgoing messages wait before you send them. Drafts are created after you complete a session, when you share a deal with specific clients, and whenever you ask the Concierge to write something.

  • Open a pending draft and edit the text if you want to.
  • Toggle your booking link in or out with one tap.
  • Send by SMS, WhatsApp, or Email — those open with the message ready; you hit send, then mark it sent.
  • Signal and Google Voice sit under “Copy & paste”: those apps can’t accept a pre-filled message, so tapping copies it and opens the right conversation — paste and send.
  • Skip dismisses a draft you don’t want. It won’t come back.

Sending from your own phone is deliberate: your clients already expect to hear from you there, not from a platform they’ve never heard of. We write the message and get it into the right app — you send it.

I text clients from Google Voice — how does that work?

Tap the Google Voice chip on a draft and two things happen: the message is copied to your clipboard, and the client’s conversation opens in Google Voice on the web — the one place Google lets us aim at the right thread. Paste, send, done. Google Voice doesn’t let other apps hand it a ready-to-send message, so the paste is the one step we can’t remove.

That’s the whole workflow. Everything below is optional — each one just shaves a step off, so take the ones that match how you work:

  • Fastest on a computer — keep a pinned voice.google.com tab; each draft is paste-and-send.
  • On Android, open voice.google.com in Chrome and choose “Install app”. Google Voice links then open in that app instead of a browser tab, still landing on the right conversation.
  • On Android, the copied message appears as a clipboard suggestion above the Gboard keyboard — pasting is one tap. On iPhone, tap the message box and choose Paste.
  • Set a client’s preferred channel to Google Voice on their profile and their drafts come pre-aimed at it.

Signal works the same copy-and-paste way, for the same reason — Signal doesn’t accept pre-filled messages from other apps either.

What are Deals?

Time-limited offers on your services — a discounted rate, a package, or a seasonal special. Create one from Deals with a price and an expiry, then either show it on your booking page or keep it private and share the link only with the people you choose.

Sharing a deal with specific clients creates an individual draft for each of them, personalised with their name and history. Deals work hardest on a slow week or a gap that just opened up — pairing one with targeted outreach is the fastest way to fill same-week time.

What is on the Analytics page?

Revenue, session volume, new versus returning clients, outreach activity, and completion rate over the period you choose — plus your weekly AI digest, which reads your recent activity and suggests who to contact and where to open time.

Two sections stay hidden until they have something to show. ROI moments appear once a message the Concierge drafted leads to a booking, and attributes the revenue to it. Concierge usage appears once you’ve used the Concierge. If you have never seen them, that is why.

What does it cost?

Your trial is free for 30 days and includes everything. We only ask for a card once the product has visibly worked for you — at your first booking — so you are never paying to find out whether it helps.

After that, Suite is $29 a month and includes every feature: bookings, your CRM, the Concierge, deals, analytics, and the weekly digest. There is no higher tier to buy and nothing is held back from it. Pilot practitioners are not charged during the pilot.

What happens if I stop paying?

Your booking link keeps working and your client records, history, and notes stay exactly where they are. That is a deliberate promise: your clients never agreed to anything with us, and a dead booking link would make our billing problem into your reliability problem in front of them. What pauses is the growth tooling — drafts, deals, outreach, and analytics — and it all comes back when you resume.

How do I get started?

BodIworK is invitation-only during the pilot, so your email needs to be on the access list — if it isn’t, you’ll be offered the chance to request access. After you sign in, onboarding walks you through your profile and hands off to the Concierge for services and availability. Budget about ten minutes.

Why am I being asked to accept updated terms?

When we update the Terms of Service or Privacy Policy, the next time you open the app you’ll see a one-screen prompt to review and agree. You can open both documents from the prompt. It takes a few seconds, you’ll only see it again when those documents change, and it does not affect any of your existing bookings.

How do I get help or send feedback?

Use the in-app feedback button, or email support@bodiwork.org. If something went wrong, tell us what you expected, what happened, and which page you were on — a screenshot helps. Because BodIworK is in a pilot, your feedback genuinely decides what we build next.
